About the Job
We are seeking a highly motivated, entrepreneurial, and experienced Executive Assistant / Recruiting Coordinator. The successful candidate will be the primary point of contact and a liaison between the Managing Partner and external parties. The position will entail a broad range of administrative tasks, including managing an extensive and busy calendar/schedule, coordinating interviews, preparing reports and documents for meetings and calls, drafting confidential correspondence, making travel arrangements, and contributing to an internal database and knowledge management system. This position requires an impeccable ability to anticipate needs, prioritize, and think critically in a fast-paced, dynamic environment.
Essential Functions
- Schedule and manage internal and external meetings for the Managing Partner. Prioritize multiple inquiries while diminishing scheduling conflicts.
- Keep the Managing Partner well informed of upcoming commitments and required follow ups; anticipate needs in advance.
- Manage all logistics related to scheduling interviews – correspond with clients, candidates, and pertinent parties to facilitate an efficient and successful process. Navigate through a complex and changing interview schedules.
- Provide ongoing status and updates, escalate issues when encountering roadblocks. Act as a liaison with other team members and outside parties.
- Prepare and organize supporting materials, reports, and agendas for meetings and engagements. Draft, edit, and proofread correspondence.
- Upload and maintain information (such as meeting/calls notes, candidate records, research reports) in the firm’s internal CRM system.
- Act as a liaison with internal team members and outside parties. Build relationships with the Managing Partner’s key stakeholders.
- Exercise independent judgment to plan, prioritize and organize diversified workload, recommending changes in office practices and procedures.
Preferred Experience
- 3+ year of experience as an Executive Assistant and/or Recruiting Coordinator.
- Prior exposure to the executive search / recruiting / in-house or agency talent industry.
- Familiarity with recruiting CRM systems.
- Exceptional organizational skills and highest attention to detail and accuracy.
- Entrepreneurial attitude, comfortable multi-tasking in a fast-paced environment.
- Impeccable verbal and written communication skills, with a focus on building relationships and providing unparalleled customer service to clients and candidates.
- Process-oriented, with intellectual curiosity and commitment to constant improvement.
- Solution-driven, passionate about problem solving both independently and with the support of a broader team.
- Highest level of accountability and integrity.
- Digitally savvy – proficiency in Microsoft Office: Word, Excel, PowerPoint and Outlook, video conferencing platforms etc.
Salary Range
- $95,000 - $120,000 Base Salary.
- Actual base salary may vary based upon, but not limited to, relevant experience, time in role, and market data.
- The successful candidate will be eligible for an annual discretionary bonus.
