Job Description
NBCUniversal is looking for a Senior Special Events Coordinator to join our Studio Operations Marketing Team in Universal City, California! In this role, you will collaborate with clients to develop, plan, execute, and promote small-scale Special Events and promotional shoots on the lot.
What You’ll Do
- Oversee scope of small-scale events and shoots with clients, various departments, employees, and vendors
- Coordinate all details of events and shoots including initial inquiry, site-visit, proposal, client budget, strategic layouts, and on-site operational management.
- Partner with third party vendors and internal departments, to oversee execution and final billing on events and shoots
- Accommodate press activity on the lot for internal and external customers
- Organize and maintain department forms, documents, maps, diagrams and photo/video assets in company digital shared drives
- Assist with answering the Special Events phone and responding to email inquiries
- Provide administrative support such as managing event calendars, TrackVia reports, drafting agreements, COI collection and obtaining contract signatures
- Assist with capturing events social media content
- Attend networking events to build and maintain client relationships
- Communicates with ease – You have a way with words; written and verbal
- Impeccable attention to detail– You bring customer requests to life by managing schedules and deadlines. The studio operations team will excel with your keen attention to timelines and production logistics.

- Creative – You seems to always find a way to solve things no matter how perplexing they may first appear
- Team Oriented – proven success working in a collaborative environment and willing to assist others as needed
- Bachelor’s degree in Marketing, Communications, Hospitality or related field
- 2+ years of professional experience
- Ability to collaborate with key stakeholders at all different levels of an organization
- Experience using social media such as Instagram and Facebook
- Ability to support several projects simultaneously in a fast-paced environment
- Required On-Site: This position is required to be performed full-time from an NBCUniversal-designated worksite.
