Administrative Assistant
Job DescriptionOur rapidly growing construction company is seeking an Administrative Assistant to join our team! You will perform administrative functions in support of active construction projects in a fast paced environment.
Responsibilities:
- Reach out to homeowners for move-outs / move-ins
- Introduce new clients to Ducky Recovery
- Guide applicants with disconnect and reconnect process
- Assist in permitting preparation and reception
- Monday Board tracking
- Create all office and field files
- Create permitting packets
- Prep job boxes for field (Approved plans, permits, documentation required on site)
- Assist PM’s in field with inspection scheduling / tracking
- Call for utility locates / disconnects / reconnects
- Assist with sending out plans, orders, etc. for each job
- Order office supplies as needed
- Set up as a Notary
- Assist in updating live checklists. Preconstruction, Construction, Warranty
- Assist with warranty scheduling and process implementation
- Organization of files in Company Cam
- Document creation
- Job Board Tracking assistance
- Assist in Representing Ducky in Homeowner meetings
- Assist with material tracking (ordered vs. delivered / used)
- Previous experience in office administration or other related fields
- Ability to prioritize and multitask
- Highly confident in utilizing technology in the workplace - Proficient in Excel, Word, Dropbox, email, MacBook usage
- Excellent written and verbal communication skills
- Strong attention to detail
- Strong organizational skills
- Bi-lingual a plus
- Willingness to travel if necessary
