Description Summary
Operate as the “right hand” to the Group President, playing a pivotal role in ensuring smooth operations and driving strategic initiatives. You will provide multi-faceted administrative support and assistance to the Group President and additional Executive Leaders as required. You will ensure effective use of the Group President’s time and productive interactions and activities. You will handle a wide range of administrative and support tasks and independently initiate and implement processes to manage projects, information, and people.
Responsibilities Include
Calendar & Travel Management:
- Manage the Group President's calendar and schedule appointments for multiple executives.
- Arrange complex travel itineraries, including flights, accommodations, and visa applications (if applicable).
- Prioritize and schedule a fast-paced calendar, ensuring efficient use of the Group President's time.
- Coordinate all logistics for board and executive meetings, including venue selection, catering, and audio-visual equipment.
- Facilitate communication with board members and executives regarding meeting details.
- Prepare and distribute board packages with clear and concise agendas and supporting materials.
- Draft and edit correspondence, presentations, and other documents for the Group President.
- Liaise with staff and external parties on behalf of the Group President.
- Partner with the Group President to ensure alignment with upcoming commitments and follow up on action items.
- 7+ years’ experience supporting an Executive.
- Excellent communication skills (verbal and written).
- Demonstrated ability to possess a facilitator mindset when working with the organization.
- Proven ability to handle confidential information with discretion.
- Adaptability to various competing demands.
- Ability to a demonstrate the highest level of customer service.
- Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
- Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.
Working Conditions
Schedule: Standard hours are Monday – Friday, 8:30 am – 5:30 pm EST. Due to the global nature of the role, some flexibility may be required to attend occasional evening meetings, conference calls, or contribute additional work input outside of core hours.
Work environment: Professional office setting.
Travel: Some overnight travel may be required.
Physical Demands: Mostly sedentary, use of repetitive hand and wrist motions, must be able to maintain proper posture, must be able to lift, pull, or maneuver up to 25lbs.
The salary range for this role is $76K to $110K. This range is applicable for jobs performed in the Eastern and Central Time Zones. An employee’s pay position within the pay range will be based on several factors including relevant education, qualifications, certifications, experience, skills, seniority, geographic location, and business organizational needs.
