Receptionist Administrative Assistant
Receptionist will be the face of the company over the phone and in person. This person will have strong phone etiquette and problem-solving skills to handle the call or route to the proper department or person. This person will always display a positive attitude and use excellent communication skills. This position requires high attention to detail and the ability to handle multiple tasks at the same time. Professional front office appearance is a must for this position.
Duties and Responsibilities:
- Must answer phones in a friendly, helpful, and professional manner
- Greet guests and engage with all contact points within the organization
- Able to research information to handle or route calls, trouble shoot and resolve (as necessary) inquiries from agents and/or staff
- Preform general administrate tasks including, but not limited to: o Distributing and tracking incoming mail and packages o Preparing outgoing mail and packages o Tracking vendor contracts o Identifying and coordinating office maintenance requests and tracking results o Ordering supplies o Scheduling conference rooms and monitoring upkeep o Preparing correspondence o Distributing and tracking guest badges o Responding to incoming e-mails
- Ability to build and maintain strong working relationships with the Home Office Team, Executives, Independent Insurance Agents and their Support Staff
- Able to work well with a variety of personality types
- Assist and train other team members to handle front desk responsibilities for back up purposes
- Process key transactions for agents, such as refunds, terminations, activations and deactivations
- Suggest and recommend process improvements and/or cost saving ideas
- Create, plan, lead, and organize home office monthly events to improve morale and camaraderie
- Be a good role model for others by displaying the positive attributes of a team player
- Organized, self-starter, comfortable working in a fast-paced environment
- Prompt, efficient and learns quickly with a high attention to detail
- Excellent written & oral communication skills -- full literacy in spoken and written English and Spanish
- Basic PC skills with Outlook, Excel, Word
- Type 65- 70 WPM
