POSITION OVERVIEW 

We are seeking a highly organized and proactive Executive Project Manager/Special Assistant to support our dynamic team. Thanks to your efforts behind the scenes, we will leverage maximum benefit from our executive leaders, especially our President and CEO, run exceptionally effective governance and management meetings, and stay on target to meet our ambitious strategic goals. This role is crucial for ensuring efficient operations across various administrative functions, supporting the onboarding process for new hires, and managing critical communication on behalf of the CEO. You possess a “roll-up-your-sleeves” attitude to getting work done, have a proactive approach to problem-solving, and are skilled at “managing up” to executive leaders. You have strong organizational skills but remain flexible. You are nimble as priorities shift and urgent high-stakes projects arise. You are capable of dealing with a variety of personalities in situations requiring diplomacy, poise, and firmness. You enjoy working behind the scenes, knowing that your ability to build relationships with the executive assistants of donors and manage up to the President & CEO will be invaluable assets to the organization. 

RESPONSIBILITIES

  • Provide streamlined calendar management for the President & CEO: Manage scheduling and logistics for regularly occurring meetings; prioritize meeting requests while troubleshooting conflicts; make judgments and recommendations to ensure smooth day-to-day engagements.
  • Support executive meeting preparation and success: Ensure the President & CEO is provided with detailed itineraries and briefing materials, pre-readings, meeting decks, and other relevant content for internal meetings and events by developing and/or coordinating with appropriate team members.
  • Support executive communication: Support the preparation of complex and confidential correspondence, reports, and proposals. When appropriate, solicit and distribute materials to other staff for information and/or disposition.
  • Perform a wide range of administrative duties to support the President & CEO in leading the organization effectively:  including supporting meeting notes, tracking deliverables and next steps, occasionally assisting with special projects, making travel arrangements, managing travel and contracts, partnering closely with executive assistants to secure and schedule high-value meetings, and completing expense and mileage reports.
  • Support Board Governance: Ensure board meetings are scheduled, prepare decks, take official minutes, and ensure next steps are documented and communicated during board meetings. 
  • Support Finance and Human Resources: Collaborate closely with the accounting team, CFO, and Professional Employer Organization (PEO) to ensure all administrative tasks are executed accurately and within set deadlines. Assist in the onboarding process for new contractors and employees, ensuring a smooth integration into the team.
  • Complete special projects and short-term initiatives as assigned: Coordinate project timelines, deliverables, and deadlines to support project goals and operational efficiency.

QUALIFICATIONS:

  • Effective written and verbal communicator, comfortable communicating through phone, email, and video chat functions and speaking in front of large and small groups.
  • Exceptional organizational and time-management skills with the ability to track and execute on highly detailed deliverables.
  • Skilled project manager; ability to prioritize and manage multiple work streams, initiatives, and deadlines simultaneously.
  • Strong, capable relationship builder who can both work as a team player and independently with minimum supervision. 
  • Learning-oriented, with a desire to seek and use feedback to shape your work.
  • Self-directed and able to take initiative and upward manage with remote supervision
  • Strong problem-solving and decision-making skills with the ability to manage priorities and workflows.
  • Proficient in office and project management tools (Google Suite and Asana).
  • Ability to handle confidential information with discretion and integrity.
  • Comfort with notetaking during meetings; experience preparing meeting minutes a plus.
  • Experience working directly with executive leadership, boards, donors, or in fundraising/stewardship roles; past work in meeting/event planning and/or volunteer management is a plus.
  • Proven commitment to social justice and equity work, aligning with Climb Hire's mission and values.
  • Ability to work a consistent schedule, including some evenings. 

SALARY & BENEFITS

  • Virtual work environment
  • $20-$25/hour (commensurate with experience),  15-25 hours per week. Currently, this position is scoped as a contract role; after 3 months, based on performance and organizational needs, there is potential for the role to become a full-time position with benefits.
