Job Description:

We are seeking a dynamic and organised Office Administrator / Executive Assistant to join our team at BPO Group. This role is pivotal in ensuring the smooth operation of our company, providing comprehensive support to our executive team and the office. To be successful in this role, you should possess excellent organisational skills, impeccable attention to detail, and be able to act without guidance in a fast paced environment.

Job Responsibilities:

Provide administrative support to the executive team, including managing calendars, scheduling appointments, and coordinating meetings.

Act as the first point of contact for internal and external stakeholders, handling inquiries via phone, email, and in-person meetings.

Assist with travel arrangements, including booking flights, accommodations, and transportation for executives and clients.

Maintain office efficiency by organizing and managing office operations and procedures, including filing systems, supply inventory, and vendor management.

Support company-wide projects by managing, tracking and chasing team tasks & actions.

Prepare and edit correspondence, reports, presentations, and other documents as needed.

Assist with special projects and initiatives as assigned by the executive team.

Lead in developing company culture. Including; coordinating and support company events, including client receptions, industry conferences, and team-building activities.

Handle confidential information with discretion and professionalism.

Perform other duties as assigned to support the smooth operation of the office and executive team.

Requirements

Requirements

Proven experience as an Office Administrator, Executive Assistant, or similar role.

Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines.

Strong interpersonal and communication skills, with the ability to interact professionally with individuals at all levels.

Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other office management software.

Confident communicator happy to pick up the phone and speak to external partners, clients and colleagues.

Previous experience in the travel industry or related field is preferred but not required.

Ability to maintain confidentiality and exercise sound judgment in handling sensitive information.

Flexibility to adapt to changing priorities and work independently with minimal supervision.
