Job Title: Production & Logistics Coordinator

Location: New York City / Remote

Reports to: Production Manager

Job Summary: The Production Coordinator is responsible for overseeing the production process from conception to completion. This role ensures that production runs smoothly, on time, and meets the company’s quality standards. The Production Coordinator will work closely with designers, manufacturers, suppliers, and retailers to ensure the seamless execution of the production plan.

Key Responsibilities:

1.     Production Planning and Management:

·      Coordinate and manage the production schedule to ensure timely delivery of products.

·      Monitor production timelines and adjust schedules as needed to meet deadlines.

·      Ensure all production activities adhere to the company's quality standards and specifications.

2.     Supplier and Vendor Coordination:

·      Communicate with suppliers and manufacturers to place orders for materials and production.

·      Negotiate prices, terms, and delivery schedules with vendors.

·      Track the status of orders and ensure materials and products are delivered on time.

3.     Logistics Coordination:

Shipping & Delivery: 

  •  Coordinate the shipping and delivery of materials and finished products. 
  • Work with logistics partners and freight forwarders to ensure efficient and cost effective transportation.
  • Schedule and manage pick-up and delivery appointments. 
  • Ensure timely delivery of products to retailers and distribution centers. 

Customs and Compliance: 

  • Manage customs documentation and clearance for international shipments. 
  • Ensure all shipments comply with international trade regulations and company policies. 
  • Stay updates on changes in import/export regulations and adjust logistics plans accordingly. 

Warehousing and Distribution: 

  • Coordinate with warehousing partners to manage the storage and distribution of products. Oversee inventory movements within the warehouse to ensure efficient space utilization. 
  • Ensure timely and accurate dispatch of e-commerce and wholesale orders from the warehouse. 

Logistics Problem Solving: 

  • Monitor and resolve and logistical issues that may arise during the transportation of goods. 
  • Develop contingency plans for potential delays or disruptions in the supply chain. 
  • Work with logistics partners to optimize routes and reduce transportation costs. 

Technology & Systems: 

  • Utilize logistics management software to track shipments and manage logistics operations. 
  • Implement and maintain an effective tracking system for all shipments. 
  • Analyze logistics date to identify trends and areas for improvement. 

4.     Inventory Management:

·      Monitor and manage inventory levels to ensure adequate supply of materials and products.

·      Coordinate with the warehouse team to ensure accurate and timely inventory records.

·      Assist in conducting regular inventory audits and reconciliations.

5.     Documentation and Reporting:

·      Maintain detailed records of production orders, schedules, and inventory levels.

·      Prepare and present regular production reports to management.

·      Ensure all production-related documentation is accurate and up-to-date.

6.     Collaboration and Communication:

·      Work closely with the design team to ensure production aligns with design specifications.

·      Coordinate with the sales and marketing teams to align production with sales forecasts and marketing campaigns.

·      Communicate effectively with all stakeholders to ensure smooth production operations.

7.     Problem Solving and Troubleshooting:

·      Identify and address any production issues or delays promptly.

·      Develop and implement solutions to improve production efficiency and reduce costs.

·      Stay informed about industry trends and best practices to continuously improve the production process.

Qualifications:

·      Bachelor’s degree in Production Management, Fashion Merchandising, or a related field.

·      Minimum of 2-3 years of experience in a production coordination role within the apparel industry.

·      Strong understanding of the production process, from design to delivery.

·      Excellent organizational and time management skills.

·      Strong communication and negotiation skills.

·      Proficient in Microsoft Office Suite and production management software.

·      Ability to work in a fast-paced, dynamic environment.

Preferred Qualifications:

·      Experience working with menswear and contemporary apparel.

·      Familiarity with major retailers such as Nordstrom, Macy’s, Saks Fifth Avenue, Revolve, and Urban Outfitters.

Working Conditions:

·      Full-time position.

·      Occasional travel to suppliers, manufacturers, and retailers as required.

·      Ability to work flexible hours to meet production deadlines.
