As the Executive Assistant, you are a valued member of the team and a trusted partner to the CEO. This vital role requires seamless communication, skillful coordination, and strategic execution. Your sound judgment, strict confidentiality, high level of sophistication, solution-oriented approach, and superior organizational skills are the essential ingredients for excellent performance in this role.

Key Responsibilities

  • Reconcile and submit C-suite expenses per company policy using Nexonia to ensure timely reimbursement Manage and coordinate travel plans, including flight bookings, accommodation, and transportation
  • Manage executive calendars, coordinating appointments, meetings, and conference calls; proactively communicating scheduling conflicts
  • Create meeting agendas, supplemental materials, and professional presentations
  • Format communications adhering to the highest professional standard
  • Maintain and manage confidential files, records related to C-suite activities, and essential documentation
  • Uphold the integrity of the office including the meeting rooms and kitchens
  • Manage the ordering and delivery of meals for onsite meetings
  • Assist in the planning and coordination of the annual AGM and company trip

Requirements

  • Bachelor's degree in business administration, communications, marketing or related
  • 3+ years of experience as an Executive Assistant supporting C-suite executives in a professional high-paced environment
  • Demonstrated aptitude to handle sensitive information with the utmost confidentiality and professionalism
  • Outstanding verbal and written communication skills
  • Proficiency in Microsoft Office Suite
  • Willing/able to be on-site M-F
