EXECUTIVE ASSISTANT

Job DescriptionThe Executive Assistant is directly accountable to the Vice President of Quality, Safety & Chief Information Officer and provides executive and project support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining the office of the Vice President. The Executive Assistant also serves as a liaison to the portfolio, Senior Leadership Team and the office of the Chief Executive Office team. This position ensures that processes are in place to support the efficient and effective operation of the Vice Presidents' portfolio and Executive Office, through accurate, timely and efficient execution of administrative support functions. The incumbent works closely, in a collaborative and co-operative manner, with members of senior management team to assist in accomplishing the provincial health authority's objectives. This position will research, analyze and develop policies, briefings and proposals as required. Collaboration, coordination, project management/organizational and communication is key to this role. The incumbent co ordinates workflow with other administration support staff in the Executive Office and, in their absence, may provide support services to other members of the Executive or Senior Leadership Team.

Job Qualifications

Required Qualifications

  • Undergraduate degree in administration, commerce or business. Additional training in the use of business related tools such as Microsoft is desired.
ExperienceMinimum three years of experience working in a senior administrative assistant, business analyst or related role.

  • Excellent computer skills, with a good working knowledge of various programs, including but not limited to, Microsoft Word, Excel, PowerPoint, Exchange, Schedule Plus, Visio, Intranet/Internet, and the capability to learn new programs as required.
  • Exceptional planning, organizational and interpersonal skills.
  • Expert written and verbal communication skills including excellent proficiency in editing material for clarity, accuracy and conciseness.
  • Knowledge and experience in minute taking and synthesizing information.
  • Possess a high degree of initiative, ingenuity, including the ability to work with little, and/or no, supervision.
  • Proven ability to maintain confidentiality including handling confidential information with discretion.
