DescriptionWe are offering an opportunity for an Executive Assistant in the healthcare industry, specifically in hospitals and social assistance, located in Staten Island, New York. This role focuses on the coordination of daily administrative operations, including the management of schedules, correspondence, and documentation. This role provides an opportunity for those with experience in CRM, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, and About Time, along with skills in Calendar Management, Correspondence, C-Suite, Documentation, and Microsoft PowerPoint.

Responsibilities

  • Manage executive schedules, appointments, and travel arrangements.
  • Coordinate internal and external meetings, ensuring all parties are informed of and prepared for the engagements.
  • Utilize CRM, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, and About Time to effectively manage tasks and communicate.
  • Handle C-Suite correspondence, ensuring that all communications are accurately and efficiently processed, distributed, and managed.
  • Assist with the preparation of presentation materials using Microsoft PowerPoint.
  • Maintain comprehensive and accurate corporate records, documents, and reports.
  • Perform minor accounting and bookkeeping duties.
  • Organize and maintain the office filing system.
  • Manage the daily operations of the office, including ordering supplies and managing resources.
  • Ensure the smooth and efficient handling of information by documenting and communicating actions, irregularities, and continuing needs within the organization.
Requirements
  • Proficiency in Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, and Microsoft PowerPoint
  • Familiarity with Concur and About Time software
  • Ability to manage calendars, schedule appointments, and organize meetings
  • Excellent written and verbal communication skills for managing correspondence
  • Experience in working with C-Suite executives
  • Strong organizational skills for maintaining and managing documentation
  • Ability to handle confidential information with discretion
  • Capability to multitask and prioritize in a fast-paced environment
  • Experience in the healthcare, hospitals, or social assistance industry is preferred
  • Strong problem-solving skills and initiative to improve processes
  • High attention to detail and accuracy in all work
  • Ability to work independently with minimal supervision
  • Strong interpersonal skills and ability to work well in a team setting
  • Willingness to learn new skills and adapt to changes in the work environment.
