The Information Management Officer is responsible for providing technical advice and assistance to employees in relation to records management activities.

This position also coordinates service requests for older creations, retrievals, transfers, and sentencing, in addition to advising on appropriate titling and classification requirements.

The position also manages the Office of the Health Ombudsman (OHO) electronic document records management system (eDRMS) using Microfocus Content Manager (Content Manager) and is responsible for the day-to-day administration of the system, including system review and development, quality assurance of electronic records, ad hoc user training, and provision of a help desk service using the Jira Service Management system.

The Duties For The Role Include

  • Develop, implement, and maintain recordkeeping strategies, policies, procedures, and guidelines to increase the efficiency and effectiveness of recordkeeping within the OHO.
  • Manage, maintain, and apply recordkeeping control tools, including the Business Classification Scheme, Retention and Disposal Schedules, and record keeping control processes.
  • Manage Content Manager, including system configuration, review and development and quality assurance of electronic records.
  • Undertake regular security audits within Content Manager to ensure users belong to the correct security group/s, confidential documents have appropriate restriction applied and user licences are issued or revoked when required.
  • Manage the archiving and disposal program to reduce record holdings.
  • Coordinate day-to-day records management activities, including processing electronic file creation and amendment requests, transferring, and retrieving physical files from offsite storage and digitising and processing incoming and outgoing mail.
  • Provide excellent customer service by effectively communicating, advising, supporting and working collaboratively with others across the OHO to deliver outcomes, through the timely management of service requests using the Jira Service Management System.
  • Provide 1st level hardware and software support to the OHO end users. Log incidents and service requests using Jira Service Desk tool and provide appropriate communication to affected users.
