We are seeking an energetic, personable, and highly organized Executive Assistant to support our Senior Vice President of Sales and Business Development. As an EA, your responsibility is to enhance our effectiveness through administrative support and to represent Upper Canada Soap and our leadership to others. As the right-arm to the Senior Vice President, you will have a high amount of visibility and will work cross-functionally in a hyper-growth organization.

Responsibilities:

  • Provide top level executive support
  • Manage a complex, high volume day to day schedule in such a way that sales leadership is able to complete their obligations in an organized, efficient way
  • Coordinate internal and external meetings including but not limited to team meetings, all hands, off-sites and one-on-one meetings with a wide variety of stakeholders
  • Proactively manage calendar priorities based on customer meetings, fiscal calendars, current projects and team needs
  • Book appropriate domestic travel, taking into account travel requirements, costs and proper documentation
  • Expense management and account reconciliation
  • Effectively interface and communicate with employees, executives, board members, prospects, customers, partner and more all the while recognizing key players across organizations
  • Attend key executive team meetings and take, compile, and share meeting notes and follow up on action items
  • Partner with others ensuring tight alignment and connectivity amongst our team
  • Creation & coordination of Presentations and Inventory as well as other administrative and project duties as requested
  • Maintain confidence and protect operations by keeping information confidential
Requirements:
  • 5+ years of Administrative support in a growing, dynamic organization
  • Ability to efficiently and effectively multitask, prioritize incoming requests appropriately, and manage conflicting priorities for self and others all while remaining adaptable to multiple demands
  • Strong oral and written communication skills with ability to communicate clearly and effectively with senior leaders and external partners at all levels
  • Problem-solving and decision-making skills
  • Ability to act as gatekeeper and escalate relevant information as needed
  • Ability to work effectively with minimal supervision
  • Strong relationship management skills, ability to build a personal network throughout the company
  • Ability to treat confidential information with appropriate discretion
  • Exceptional attention to detail
  • Very strong technical competency, specifically with virtual meeting tools as well as Word, Excel, PowerPoint, Email, Calendars (Microsoft)
  • Team Player
